TECHNICAL ADMINISTRATOR [PRINTING EQUIPMENT]

 

Location: Johannesburg 

 

Our client based in Johannesburg is  looking for a highly organised, proactive and detail-oriented Service Desk Technical Administrator to join their National Technical Department. This is a fast-paced service environment where you will be responsible for managing the service desk from the initial client request through to scheduling, technical support coordination, job completion and invoicing.

The successful candidate will work closely with Clients, Technicians, Suppliers, Sales and Sub-Dealers, ensuring that service requests are handled efficiently, communication is maintained and the Technical Department’s systems and administration remain accurate and up to date. The ideal candidate must be able to multi-task, prioritise under pressure, follow up relentlessly and communicate professionally with clients and internal teams.

 

Responsibilties:

 

  • Manage incoming service requests, open and maintain service tickets, and ensure requests are captured and actioned promptly.
  • Communicate with clients regarding service requirements, quotations, technician attendance, delays and completion timelines.
  • Assess service requests and assist with preparing accurate quotations for labour, spare parts and technical services.
  • Liaise with technical teams to assist with fault diagnosis, parts identification and repair requirements.
  • Maintain the service management system, ensuring service calls, bookings, technician allocations, notes and job statuses are kept up to date.
  • Coordinate and schedule technicians nationally based on urgency, location, skills and availability.
  • Ensure technicians have the required information, parts and documentation before attending sites.
  • Monitor open service calls and follow up on outstanding actions through to completion.
  • Review completed technician job sheets for accuracy and ensure labour, travel, parts and other chargeable items are correctly recorded for invoicing.
  • Track spare parts and back orders, liaising with logistics, suppliers, technicians and clients regarding availability and expected delivery dates.
  • Maintain clear communication between clients and technicians, providing updates on schedules, delays, parts availability and revised ETAs.
  • Prepare technical reports and assist with documentation required for insurance claims and suppliers.
  • Provide administrative and coordination support for technical queries from external partners and ensure matters are followed through to resolution.
  • Assist technicians with travel records, expense claims and out-of-town allowance submissions.
  • Ensure all required site inspection, pre-installation and installation documentation is received and accurately maintained.
  • Maintain the national technical register, capturing service activity, technician movements, installations and outstanding jobs.
  • Assist with daily and monthly technical reporting and provide accurate information to management.
  • Follow up consistently on outstanding client approvals, documentation, job sheets, parts and other information to ensure nothing falls through the cracks.

 

Requirements:

 

  • Matric.
  • Previous experience in a Service Desk, Technical Administration, Service Coordination or similar role.
  • Experience working in a fast-paced service environment is essential.
  • Strong administrative and organisational skills.
  • Excellent communication skills, both written and verbal.
  • Ability to communicate confidently with Clients, Technicians, Suppliers and Sub-Dealers.
  • Strong attention to detail.
  • Ability to work under pressure and manage multiple priorities simultaneously.
  • Strong follow-up skills and the ability to take ownership of outstanding matters.
  • Ability to work independently while also working closely with a Technical Team.
  • Strong administration, organisation and follow-up skills

  • Good working knowledge of Pastel, Excel and Microsoft Office 365
  • Experience with CRM / Service Management systems would be advantageous
  • Technical industry experience would be an added advantage
